    Capsitech Institute of Technology, as a part of Capsitech IT Services Private Limited operates in accordance with the policies and procedures set by the management at Capsitech. Our policies are designed to ensure academic integrity, ensure fair evaluation, and promote students’ welfare.

    Capsitech Institute of Technology has a number of policies and procedures to guide and govern its operation.

    The following policies are applicable to all the students who are registered with Capsitech Institute of Technology and every student shall be individually responsible to ensure that all the rules set in the document(s) are followed.

    Academics

    Attendance:

    Ensuring regular attendance and participating in the theoretical and practical sessions are mandatory for all students. Non-participation in the classes may lead to appropriate action(s).

    It is important for the students to inform their academic head about any planned leaves. Only when permitted, leaves can be planned.

    Excessive absences may impact a student’s grade and eligibility to take further examinations.

    Academic Integrity:

    Any form of academic dishonesty is strictly prohibited. Students are expected to uphold highest standards if integrity towards the academic work.

    Plagiarism, chatting, or copying someone’s work are strictly prohibited.

    Academic misconduct may include disciplinary actions, academic penalties, or even dismissal of the candidate from the institute.

    Grading:

    Grades secured by the candidates shall be dependent on their performance in theoretical and practical assessments. The institute employs advanced grading and evaluation systems that help candidates master the skills, however, individual performance has to be ensured by the students.

    Grade Appeals can only be approved if the instructors feel the need of it. Appeal can be made to the instructor and academic head by the students or their parents.

    Admissions

    Admissions Criteria

    Prospective students must have completed their higher secondary education or equivalent, with a high school diploma from a recognized institution.

    Applicants should be familiar with the English language and should be able to communicate in English.

    Application Process

    Applicants need to fill in their admissions enquiry form and produce the relevant documents, as required by the admissions team.

    Candidates may be required to provide additional documents if the university or the institute demands the same.

    Documents require typically include pass certificate, academic transcripts, CV, School leaving certificate, National identity card. However, additional documents may be required to complete the admission process.

    Selection

    Applications are reviewed holistically considering the academic performance and program-specific requirements.

    Final decision on a candidate’s selection is considered by the management and the university.

    The institute holds the right to decline an application if it feels that the candidate does not meet the required selection criteria.

    Acceptance and Enrollment

    Applicants will be notified of their admission decision with a reasonable timeframe after the application deadline.

    Accepted students will receive the confirmation from Capsitech Institute of Technology along with their accesses required for studies.

    Accepted students are required to confirm their seats with the suggested deadline along with their enrollment deposit.

    Financial Policies

    Fees Policy

    The fees charged at Capsitech Institute of Technology confirms your registration with the Capsitech Group. The fees charged is for the practical training throughout the course. This however, does not include the exam fees or any other fees charged by the university except the tuition fees which is paid to the university by Capsitech IT Services Private Limited.

    The fees have to be paid in a one-time payment arrangement. For any assistance in regards to fees, you can reach out to the academic head.

    The fees paid includes the theoretical & practical training provided at Capsitech’s premises. It does not include students’ conveyance, accommodation, food, travel, or technical tools required for training purposes.

    Candidates are required to have their own laptop(s) or any other technical tools required for their training purposes.

    Scholarship Policy

    Capsitech does not represent the university and hence, it cannot confirm the scholarships offered by the university.

    If there are any requests or concerns in regards to the scholarships, the same can be discussed with the academic head.

    Miscellaneous Expenses

    Capsitech is not responsible for any miscellaneous expense incurred by the students throughout their academics.

    Any additional charges incurred due to student’s negligence, violation of university’s policies, breaking the code of conduct, cheating during examination, and exam reattempt shall be paid by the student. The institute shall bear no liability in these cases.

    Student Conduct

    General Expectations

    Students are expected to uphold the highest standards of academic integrity throughout their academics and association with Capsitech.

    Students are encouraged to collaborate with others in their academic pursuits.

    Students are expected to abide by the rules and regulations of the institute and follow the disciplinary instructions.

    Students are expected to uphold the brand name of Capsitech and display ethical and professional conduct in public spaces.

    Students are expected to actively engage in classroom discussions and academic activities to enhance their exposure to the corporate world.

    It is strongly advised that students must treat their faculty professors, instructors, and other colleagues with respect and courtesy at all times.

    Capsitech is committed to promoting diversity and hence, students are expected to respect and appreciate individuals from diverse backgrounds, cultures, and perspectives.

    Students are expected to be responsible in maintaining the cleanliness and proper use of the premises, facilities, and equipment.

    Prohibited Behaviors

    At Capsitech Institute of Technology; discrimination, harassment, and any form of prejudiced behavior based on race, gender, religion, sexual orientation, nationality, or any other characteristics are strictly prohibited.

    Engaging in physical violence, threats, or intimidation towards others in the institute premises or during the university-related activities is strictly prohibited.

    Any form of bullying, including cyberbullying, is strictly prohibited; this includes actions intended to harm, intimidate, or humiliate others.

    Use of mobile phones during the class and in the classroom is strictly prohibited. Mobile phones must be submitted to the trainer before the class begins.

    Any activity or act that may disrupt the university classes, events, or other activities is prohibited and such actions may lead to immediate action.

    Unauthorized access or use of institute facilities with malicious intent is strictly prohibited.

    Possession, consumption, or distribution of alcohol or any other form of illegal substance on the institute is strictly prohibited.

    Intentional damage to institute property, facilities, or equipment is prohibited.

    Disciplinary Process

    The disciplinary process will adhere to the principles of fairness and impartiality.

    Confidentiality shall be maintained to the fullest extent possible during the disciplinary process and the relevant information shall be shared with individuals involved with the investigation and resolution.

    Following the disciplinary process, if required, disciplinary action will be determined and appropriate actions may be taken.

    Sanctions

    The principles of sanctions include proportional response, educational approach, fairness, and due process.

    The sanctions for the students may include Verbal and Written warnings, Probation, Separation, and may extend to Expulsion as well.

    Confidentiality

    The institute takes appropriate measures to safeguard the confidential information however, the students are also responsible for protecting the confidential information that is concerned with them, their fellow students, and the institute members or internal policies.

    Support and Resources

    Students shall be assigned an academic head who shall guide them throughout the training process (both theoretical and practical).

    Tutors shall be available to help students practically implement their learnings.

    Facilities shall be provided to students allowing them to continue their studies smoothly.

    Our support team shall comprehensively help you throughout your studies. Any assistance required can be communicated through the academic head.

    Technology and IT Policy

    Acceptable Use of Resources

    Students are encouraged to use the IT resources primarily for educational and academic purposes only which may include research, and coursework.

    Students should not access any equipment, device, or system without authorization.

    Students are advised to follow the instructions of their trainers whilst accessing any technical equipment.

    Compliance with Institute Policies

    The use of IT resources must comply with all the applicable laws, regulations, and institute’s policies including the copyright, intellectual property, and data privacy policies.

    Responsible Data Handling

    Students must protect and handle any form of sensitive data carefully and maintain its confidentiality.

    Data related with the institute, ongoing projects, or any other individual should not be compromised or leaked to anyone.

    Prohibited Activities

    Accessing the network for personal use is prohibited.

    Activities such as spreading malware, hacking, unauthorized access to systems, or any form of cyberbullying are prohibited.

    Use of Personal Devices

    Students are advised to carry their own laptops for their practical training; the institute shall not provide laptops or desktops to students.

    Students using personal devices to access the institute IT network should ensure that their devices are up-to-date with security software and operating systems.

    Research Policy

    Ethical Conduct and Integrity

    Students engaging in research must adhere to the institution’s ethical guidelines and regulatory requirements.

    The institution provides training, guidance, and oversight to ensure compliance with relevant regulations, ethical guidelines, and institutional policies.

    The research work must be done individually or in teams, as suggested by the mentors but it should not be copied or plagiarized.

    Support

    Capsitech Institute of Technology offers comprehensive support services to facilitate research activities, including grant proposal development, project management, and research administration.

    Training programs, workshops, and seminars are provided to enhance researchers' skills, knowledge, and competitiveness in securing funding and conducting high-quality research.

    Evaluation and Continuous Improvement

    Capsitech Institute of Technology employs metrics and evaluation criteria to assess the quality, impact, and productivity of research activities.

    Periodic reviews and assessments are conducted to identify strengths, weaknesses, and opportunities for improvement in research performance and policy implementation.

    Stipend Policy

    Eligibility

    Students registered with Capsitech Institute of Technology are eligible to receive the stipends after the successful completion and result declaration of their scheduled exams in 1st year.

    The institute reserves the right to withhold or cancel the payment of stipends for the upcoming academic year in the event of any unpaid dues or pending fee payments. Please note that if the required fees are not cleared, the stipend will stand cancelled and shall not be reconsidered, or released at a later date. Students are advised to ensure full and timely fee payment to retain eligibility for stipend benefits.

    Students will be evaluated on the basis of their performance, punctuality, marks secured in university exams, and assignments completed. The overall assessments would make a candidate eligible for the stipends.

    Candidates who couldn’t complete all the exams or could not clear the internal assessments would not be eligible for the stipend until the exams are cleared.

    Stipend Amounts

    Stipend amounts vary based on the nature, duration, and level of involvement in the activity.

    Stipend amounts will also be dependent on the candidate’s individual performance, punctuality, sincerity through the training, and behavior.

    The management at Capsitech Institute of Technology reserves the right to take the final decision on a candidate’s eligibility for the stipend and its associated amount.

    Placement Policy

    Students who successfully complete their graduation and practical training with Capsitech will be offered a placement opportunity at Capsitech IT Services.

    On completion of the course, candidates can also associate with any other organization.

    Eligibility for Placement Guarantee

    Students registered with Capsitech Institute of Technology (CIT) are eligible for a guaranteed placement at Capsitech IT Services, subject to meeting the defined eligibility criteria and performance standards as followed:

    • Fulfillment of all academic requirements, including regular attendance and satisfactory performance.
    • Completion of all required internships with satisfactory performance.
    • Adherence to the institute’s code of conduct and regulations.
    • Students with any disciplinary violations will be disqualified.

    Performance Expectations

    • Maintain minimum academic performance as per CIT’s grading policy.
    • Successfully complete all assigned projects, exams, and assessments.
    • Demonstrate professional behavior and strong work ethic during internships.

    Attendance and Participation

    • Mandatory attendance in all academic and training sessions.
    • Active participation in seminars and skill-building programs.
    • Completion of all practical assignments as required by the curriculum.

    Terms & Conditions

    • The placement guarantee is valid only for students who complete the full course at CIT.
    • Failure to meet any eligibility criteria may revoke the guarantee.
    • The placement offer is extended only once, subject to formalities.
    • Students must sign a commitment agreement before their final year.

    Non-Compliance

    Failure to adhere to any of the policy conditions may result in disqualification from the placement guarantee.

    Additional assessments or remedial training may be required as decided by the institute.

    Further actions, if necessary, will be taken by CIT management.

    Grievance

    Students can report any form of grievance to their academic head and appropriate measures shall be taken to sort the issue.

    Students can also report directly to the management at Capsitech for any unresolved grievances.

    At Capsitech, we prioritize the well-being and success of our students. Our resources and policies are designed to encourage students to excel in the tech world through comprehensive training.

    Final Declaration

    The aforementioned Policy and Regulations, along with other policies at Capsitech, will govern the association of the student with the institute.

  • Terms of Admission at Capsitech Institute of Technology

    General Definitions

    Capsitech Institute of Technology is referred as “institution”;

    Parul University is referred as “university”;

    Capsitech IT Services Limited is referred as “Company”;

    Application of the Terms

    If you are willing to accept the letter of offer to study at Capsitech Institute of Technology, you agree with the clauses and points mentioned in this Terms of Admission and it will define your relationship with the institution.

    These terms are applicable to all the candidates who will be studying at CIT (Capsitech Institute of Technology)

    The terms can be updated by the admission/ management committee at any point of time and the revised Terms shall be applicable to you until the completion of your course.

    Membership with the University/ Institute

    As a student at CIT, you will have separate but interdependent relationship with your institute and university. You will be a member of your institution until the completion of your course.

    Admission to your institution and your university are both managed by your institution. You are not allowed to change your institution or mode of study after entering into agreement with CIT. You will be unable to pursue your degree if your relationship is terminated for any reason including the breaches of the policies and actions taken for it.

    You are expected to agree to the rules, regulations, and all the policies of the institution. The rules can be updated at any time and such policy-related updates shall be shared in the forms of notifications. The rules shall be applicable to you and would guide your continued association with the institution

    Attending the practical sessions/ seminars/ group activities and practical work is an essential part of your ongoing studies. You are expected to pursue your studies diligently as advised by your tutors and Director(s) of studies.

    Association with Capsitech IT Services Private Limited

    Capsitech Institute of Technology is powered and managed by Capsitech IT Services Private Limited. As a member of our institution, you are expected to follow the points mentioned below.

    Your degree program is developed in a way that incorporates regular practical work along with the part-time studies. Both the aspects are crucial and mandatory to avail the degree and certifications from our institution. There cannot be any appeals or modification in this rule.

    You may be trained by the engineers practicing in the industry and hence, they shall be acting as your tutors.

    You will be working at Capsitech IT Services as your practical internship and this shall be counted as a part of your program. Your attendance during the theoretical/ practical sessions along with the time spent at work will be counted as your activity which would impact your overall scores.

    You may get a chance to be employed at Capsitech IT Services as a full-time developer after your course. However, the management at Capsitech reserves the right to take appropriate decisions on these matters.

    Fees

    Your institution will be responsible for overall supervision of your course including libraries, classroom and machine rooms and the local welfare assistance to the students. Your institution shall also provide the teaching, non-teaching, and support staff to ensure an appropriate study-friendly environment including the arrangements of practical sessions, seminars, assignments, and industry-oriented lectures. Your university shall be responsible towards organizing the sessions, conducting the lectures, conducting the examinations, and awarding the degrees.

    The fees once paid to the institute is non-refundable. The candidates will not have any right to claim refund of the fees or any other charges.

    Your offer letter will outline the basis of fees calculation and modes of payment. Failure to comply by the rules set by the university and the institution to pay the fees would lead to termination of membership.

    The management of the institution and the university reserves the right to amend the rules in regards to the fees’ structure and payment processes.

    Additional Expenses

    In addition to the fees outlines, you may need to incur additional expenses for field trips, industrial orientations, excursions, placements, etc.

    You are expected to have appropriate financial support to carry out the course and meet your liabilities. Neither the university nor the college holds any responsibility for any of your personal or educational debt.

    Intellectual Property Rights

    Ownership of the intellectual property rights (broadly defined, whether registrable patents or not) in materials devised, made, or created by you normally rests with the company (Capsitech IT Services Private Limited). However, based on the educational requirements, you will have the freedom and access to represent your work and the company.

    Data Protection

    As a member of the university and the institution, you give your consent that your personal data can be used and processed for related activities. The university and the institution may use such information for various purposes.

    While studying at CIT, it is important for you to maintain the confidentiality of others and ensure that you do not participate, engage, or encourage others in sharing of any sensitive data related to any individual, company, institution, or university.

    Communication Policy

    To promote inclusivity and maintain professional standards, all communication—both verbal and written—within the company premises or during official interactions must be conducted in English. Students are strictly advised not to communicate in their regional languages during professional engagements, meetings, or training sessions. This ensures effective collaboration, mutual understanding, and a respectful work environment for everyone.

    Misconduct (including physical misconduct, sexual misconduct, and abusive behaviour)

    At Capsitech Institute of Technology, we are committed to providing safe and progressive environment to our students.

    Misconduct includes any behavior that violates the university's standards of conduct or disrupts the academic or social environment of the university. This includes but is not limited to academic dishonesty, harassment, discrimination, hazing, vandalism, and substance abuse.

    Consequences for misconduct: Consequences for misconduct may include disciplinary probation, suspension, expulsion, or other appropriate measures deemed necessary by the conduct office. The severity of the consequences will depend on the nature and severity of the misconduct.

    Reporting and investigation procedures: Any student, faculty, or staff member may report an incident of misconduct to the conduct office. The conduct office will investigate the allegations and provide the accused student with an opportunity to respond to the allegations. The investigation will be conducted in a fair and impartial manner.

    Rights of the accused: The accused student has the right to a hearing before a conduct board. The student may have an advisor present at the hearing, but the advisor may not speak on the student's behalf. The accused student also has the right to appeal the decision of the conduct board.

    Prevention and education: The university will provide education and prevention programs to promote ethical behavior and prevent misconduct. This may include workshops, training sessions, and awareness campaigns.

    Confidentiality: The University will protect the confidentiality of all parties involved in the reporting and investigation of misconduct allegations to the extent possible. However, confidentiality cannot be guaranteed if it interferes with the investigation or if required by law.

    Enforcement & violations

    The institute reserves the right to monitor social media activities concerning Capsitech.

    All decisions pertaining to refunds are subject to the sole discretion of Capsitech Institute of Technology. The Institute reserves the exclusive right to evaluate, approve, or deny any refund request based on its internal policies, resource considerations, and academic regulations.

    All payments made to Capsitech Institute of Technology are non-refundable and non-transferable under any circumstances.

    This includes, but is not limited to:

    • Registration fees

    • Examination or certification charges levied by the university

    Acknowledgment of Policy

    By completing payment or registration, students and stakeholders acknowledge that they have read, understood, and agreed to this No Refund Policy in full.

    Exceptional Situations

    Capsitech Institute of Technology acknowledges that unforeseeable and extraordinary personal situations may arise. In such rare instances, a Refund Review Committee shall be constituted to evaluate the request.

    All such requests will be reviewed on a case-by-case basis, and the Committee’s decision—based on the nature of the situation, resource allocation, and academic progression—shall be final, discretionary, and binding. Students facing such challenges are encouraged to contact the support team to explore flexible academic alternatives, where feasible.
